Sphere Partners
AI Automation Services

Automate the work your team does by hand.

Sphere automates document-heavy processes end to end: AI reads the order, invoice or form, checks it against your rules, writes it into your ERP or CRM and sends only the exceptions to a person. A medical device manufacturer now saves $750K a year in labor.

Where the hours go

Your team is still the integration layer.

Orders arrive by email and PDF, invoices need checking, forms need retyping. Rules-based automation breaks on the first document that looks different. AI automation reads it the way a person would.

Today
With AI automation
Intake
Someone retypes emails, PDFs and faxes
AI reads the document and extracts every field
Checks
Errors show up downstream, or at month-end
Validated against your ERP, catalog and rules before it moves on
People
Every item waits for a person
Only exceptions reach a person, with the context attached
Systems
Copy and paste between tools
Written straight into your ERP, CRM or ticketing system
Visibility
No idea where a request is stuck
Every step tracked, timed and measurable
Growth
More volume means more hires
Volume grows without adding headcount

Sphere builds the right-hand column. Here's how.

See the four phases
How it works

From a manual process to one that runs itself.

We measure the process before we touch it, run the automation next to your team before cutover, and report the savings after.

  1. Weeks 1–2

    Process baseline

We map one high-volume process, measure how long it takes and what errors cost, and find where the exceptions come from.

You getA baseline, the business case and a fixed scope.
  2. Weeks 2–5

    Build extraction & rules

We build the AI that reads your documents, the validation rules and the integrations with your ERP, CRM or ticketing system.

You getAn automation that processes real documents end to end.
  3. Weeks 4–10

    Parallel run & cutover

The automation runs alongside your team so results can be compared, then takes over with an exception queue for anything it can't resolve.

You getThe process live, with people handling exceptions only.
  4. Week 10 onward

    Measure & extend

We report time and cost saved against the baseline, tune what still goes to exceptions and pick the next process.

You getSavings you can show finance, and the next process in line.

A medical device manufacturer took the retyping out of order entry.

Purchase orders arriving by fax, email and PDF are parsed, checked against ERP records and sent to the order management system. Mismatches go to a person.

No lock-in

Built on your stack. Owned by you.

It runs in your cloud

Deployed to your AWS, Azure or Google Cloud account. Your data doesn't leave your environment.

Your code, your IP

Repositories, documentation and runbooks are yours from day one. Nothing only Sphere can maintain.

Swap models when better ones ship

The architecture keeps the model replaceable, so moving from one provider to another is a config change, not a rebuild.

Questions

What teams ask before they start.

Don't see yours? Ask it on the review. That's what it's for.

Book a process automation review
How is this different from RPA?

RPA follows fixed rules and breaks when a document or screen looks different. AI automation reads unstructured inputs like emails, PDFs and scans, handles variation and sends genuine exceptions to a person. We use RPA where it fits and AI where rules alone fall short.

Which processes are good candidates?

High-volume, document-heavy work with clear rules and costly errors: order entry, invoice auditing, claims, onboarding, intake and routing. The review tells you which of your processes pays back fastest.

What happens when the automation isn't sure?

It sends the item to an exception queue with everything it found, so a person can resolve it in seconds. Nothing risky goes through without a check.

How long does it take?

The baseline takes one to two weeks. Most processes are automated and live within about ten weeks, after a parallel run alongside your team.

Which systems can you connect to?

The ones you already run: NetSuite, SAP, Microsoft Dynamics 365, Salesforce, HubSpot, EMRs, ticketing tools, email inboxes, shared drives and internal APIs.

What does it cost?

It depends on the process, volume and integrations. The review ends with the business case and a fixed price for the build, so you can compare cost with savings before you commit.

Next step

Pick the process that eats the most hours. We'll automate it.

Book a process automation review with a Sphere solution architect. You'll leave with:

  • A baseline of what the process costs today
  • Which steps AI can take over, and which stay with people
  • A timeline and a fixed scope for the build
